ABOUT THE ROLE
As an integral part of our Supply Chain team, the Distribution Coordinator plays a vital role in ensuring the seamless, timely, and accurate movement of goods throughout our network. This role is central to maintaining the efficiency, reliability, and quality that our customers and partners expect.
Working at the heart of our distribution operations, the Distribution Coordinator oversees the full process of order management, from accurately processing incoming orders to coordinating dispatch, transportation, and delivery. They ensure that every product leaving our sites meets our standards for quality, presentation, and condition, supporting an exceptional end‑to‑end service experience.
RESPONSIBILITIES
Accurately process incoming orders from stores, customers, sales teams, and internal departments, ensuring all information is complete and correct.
Manage weekly ordering books, including distributing, collating, and processing submissions.
Arrange internal stock movements, collections, and transport, ensuring smooth coordination across sites.
Organise incoming and outgoing shipments, selecting carriers, scheduling collections, and preparing all required shipping documentation.
Track shipments in transit, provide timely updates to stores and internal teams, and resolve any delivery delays or issues.
Maintain accurate and compliant shipping records, including packing lists, bills of lading, and labels.
Support stores and customers with order status, transport queries, and product information, resolving issues promptly.
Communicate shortages, delays, or order discrepancies to relevant parties.
Assist the warehouse with dispatch paperwork and processing when required.
Deliver a high level of customer service, responding to enquiries quickly and professionally.
Carry out any additional reasonable tasks requested by management.
SKILLS YOU WILL BRING
Able to communicate clearly and professionally with colleagues, customers, transport partners, and suppliers. Confident in relaying information, resolving queries, and maintaining strong working relationships across the business.
Demonstrated ability to meet performance targets, work to agreed service levels, and proactively manage priorities to support operational efficiency and customer satisfaction.
Comfortable using spreadsheets for data entry, reporting, analysis, and tracking. Familiar with formulas, formatting, and general data accuracy requirements essential to supply chain and distribution workflows.
Able to manage multiple tasks simultaneously, coordinate schedules, and maintain structured processes to ensure orders, shipments, and documentation run smoothly and on time.
Collaborative mindset with the ability to work effectively alongside warehouse teams, transport providers, supply chain colleagues, and customer‑facing departments.
Meticulous approach to order accuracy, documentation, data integrity, and communication. Ensures errors are minimised and standards consistently met.
Able to identify issues quickly, investigate root causes, and implement practical solutions to maintain smooth operations and prevent recurring challenges.
Confident in providing support to stores, customers, and internal stakeholders. Ensures queries are handled promptly, professionally, and with a focus on service excellence.
Able to work efficiently under pressure, prioritise tasks, and adapt to changing demands while maintaining consistent accuracy and performance.
